This Cancellation Policy forms part of the terms and conditions of Luxury Chauffeurs and applies to all confirmed chauffeur bookings. We understand that plans sometimes change. This policy explains your options when cancelling or amending a booking, and sets out the conditions that may apply. All cancellations and amendments are subject to the terms of this policy and our Terms and Conditions.
This policy applies to all confirmed Luxury Chauffeurs bookings including airport transfers, corporate chauffeur travel, private chauffeur hire, wedding chauffeur service, event chauffeur service, roadshow travel, private jet transfers, hourly hire, full-day hire, and UK-wide long-distance chauffeur journeys.
A booking is only confirmed when you have received written confirmation from Luxury Chauffeurs specifying the journey details, vehicle, date, time, and any applicable terms. Cancellation terms apply from the point of written booking confirmation. If you are unsure whether your booking is confirmed, please contact us.

Cancellations are only accepted when acknowledged in writing by Luxury Chauffeurs. Please do not assume a cancellation is confirmed until you have received written acknowledgement from our team.

Cancellations made at very short notice or on the day of travel may be subject to a higher cancellation charge due to the commitment of vehicle and chauffeur resource. We understand that emergencies arise and will consider individual circumstances where appropriate.
For airport transfer bookings, cancellation and amendment terms apply from the point of booking confirmation. If your flight is cancelled, please contact us immediately. We will endeavour to work with you to reschedule wherever possible. Extended waiting time at airports may be subject to additional charges as outlined in Section 18.
Corporate account clients may be subject to separate cancellation terms agreed at the time of account set-up. Individual corporate bookings not covered by a separate account agreement are subject to the standard cancellation terms in Section 5.
Wedding and special event bookings may be subject to different cancellation conditions due to the time-specific and non-recoverable nature of these services. We strongly recommend discussing cancellation terms at the time of booking for all wedding and event transport.
Hourly hire and full-day hire bookings allocate a dedicated vehicle and chauffeur for an agreed period. Cancellations of these bookings may be subject to higher cancellation charges due to the commitment of resources.
Roadshow and multi-stop corporate journey bookings involve significant scheduling and logistical planning. Cancellations of roadshow bookings may be subject to different notice periods and cancellation terms.
Private jet chauffeur transfers and VIP bookings may be subject to separate cancellation and booking terms.
Amendments to confirmed bookings (changes to journey details, pickup time, location, or passenger numbers) are accepted subject to vehicle and chauffeur availability. Amendment requests must be made in writing or by telephone as soon as possible. Amendments may affect pricing depending on the nature of the change. We will confirm any revised quote or terms in writing before the amendment is finalised.
If you need to change your pickup time or location after booking confirmation, please contact us as early as possible. Changes may be subject to availability and may affect pricing. Changes requested with very short notice — particularly for airport transfers — may not always be accommodated.
A no-show occurs when a passenger fails to arrive at the agreed pickup location within the agreed waiting time without prior notice or without prior cancellation. The chauffeur will wait for the agreed waiting time (Section 16) and will then contact the passenger by phone. If contact cannot be made, the chauffeur may be stood down and cancellation charges may apply.
For transfer services, the first 45 minutes of waiting time are free for airport pickups after the agreed pickup time. Non-airport pickups include 15 minutes of free waiting time. After this free waiting time, additional waiting time costs will be charged at a flat rate, calculated based on the hourly booking price for the pickup location area, including the vehicle category rate (including VAT).
Where a delay is caused by circumstances outside the customer's reasonable control — such as a flight delay with documentary evidence, a severe transport disruption, or a medical emergency — we will endeavour to accommodate the situation with reasonable flexibility. Please contact us as soon as possible in such circumstances.
We will not be liable for delays caused by circumstances outside our reasonable control, including severe weather, road accidents, traffic congestion, vehicle mechanical issues, or other force majeure events. We will notify you as soon as practicable of any such delays and take all reasonable steps to minimise the impact on your journey.
In the unlikely event that a confirmed vehicle becomes unavailable (for example, due to a mechanical issue or road incident), we will endeavour to provide an equivalent or superior substitute vehicle where possible. We will notify you immediately and discuss your options. We will not charge additional fees if we are unable to provide the confirmed vehicle.
Luxury Chauffeurs shall not be liable for any failure or delay in providing services caused by events beyond our reasonable control, including acts of God, extreme weather, government restrictions, national emergencies, strikes, or pandemics. In such circumstances, we will contact you and discuss your options in good faith.
